Job Summary
The Secretary provides administrative and clerical support to ensure efficient daily operations within the food company. This role involves coordinating communication, managing schedules, maintaining records, and supporting various departments while ensuring compliance with food industry standards and company policies.
Key Responsibilities
Manage and organize daily schedules, appointments, and meetings for management
Handle incoming calls, emails, and correspondence in a professional manner
Maintain and update company records, documents, and filing systems
Prepare reports, presentations, and internal communications
Coordinate meetings, including preparing agendas and taking minutes
Assist in inventory documentation, purchase orders, and supplier communication
Ensure proper documentation related to food safety, quality control, and regulatory compliance
Support HR and administrative tasks such as onboarding paperwork and attendance tracking
Order and manage office supplies and maintain an organized workspace
Liaise with internal departments such as production, logistics, and sales
Requirements
Proven experience as a secretary, administrative assistant, or similar role
Familiarity with office management procedures
Basic understanding of food industry operations is an advantage
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
Strong organizational and multitasking skills
Excellent written and verbal communication skills
Attention to detail and problem-solving abilities
High school diploma or equivalent; additional qualifications in administration are a plus

Experience in a food manufacturing or distribution company
Ability to work in a fast-paced environment
Working Conditions
