We are seeking a highly organized, proactive, and professional Executive Assistant to the General Manager to support the daily operations of a leading Foodstuff Trading company in Ajman, UAE.
Key Responsibilities:
Manage the General Manager’s office, calendar, appointments, and meetings.
Coordinate and follow up with all departments, including Accounting, Purchasing, Warehouse, Branches, and Human Resources.
Prepare daily, weekly, and monthly management reports.
Track and follow up on tasks and ensure timely completion of assigned actions.
Manage emails, phone calls, and official business correspondence.
Organize meetings, prepare agendas, and record meeting minutes.
Follow up on company licenses, contracts, insurance policies, and government-related documents.
Coordinate with suppliers, customers, service providers, and external partners.
Prepare and analyze sales, expense, and operational reports using Microsoft Excel.
Assist in recruitment activities, including CV screening and interview coordination.
Maintain accurate filing systems and company records.
Handle confidential information with the highest level of professionalism and discretion.
Perform other administrative and operational duties as assigned by the General Manager.
Requirements:
Minimum 3 years of experience as an Executive Assistant, Executive Secretary, or Administrative Coordinator.
Excellent communication skills in both English and Arabic (written and spoken).
Advanced proficiency in Microsoft Office, especially Excel, Word, Outlook, and PowerPoint.
Strong organizational, multitasking, and time-management skills.
Ability to work independently and under pressure.
Strong follow-up skills and attention to detail.
Professional appearance and positive attitude.
Experience in FMCG, Foodstuff Trading, Distribution, Wholesale, or Retail industries is highly preferred.
